Earlier this year, I posted about packaging a PowerPoint presentation in PowerPoint 2007 http://technologytraining.psu.edu/node/230. Last week I was asked in a class about one of the options available when using this utility. When this tool is enacted, the accompanying Options dialog box provides selections to include linked files and embed fonts, and in PowerPoint 2007 there is also an option to “Inspect presentations for inappropriate or private information”. The Document Inspector is a new tool available in PowerPoint 2007, as well as in Word 2007 and Excel 2007. This feature helps users quickly find and remove sensitive and hidden information in files, such as file paths and comments. When this option is selected in PowerPoint an additional dialog box launches with a list of checkboxes to inspect the file for items like off-slide content that is present yet not usually visible and presenter notes that may be in the presentation. If any of these items are found it is up to the user as to remove them or to allow them to remain in the presentation. If content is removed it will no longer be visible in the packaged version of the presentation.
